Executive Assistant
We are seeking a dynamic and professional Executive Assistant to join our team. This diverse role calls for a proactive, approachable, and enthusiastic individual with a friendly demeanor.
Qualifications:

Thai Nationality
·
Bachelor’s Degree or higher
·
Good command of both written and spoken English
·
Ability to operate PC efficiently literate including Microsoft Office applications, website designing, Adobe applications, and Canva
·
Experience in administrative and/or secretarial work is desirable
·
Sales and Customer Service skills
·
Networking skills
·
Multi-tasking skills
·
Understanding of social media sites
·
Positive and hardworking attitude
·
Willing to work long hours and outside Bangkok (when necessary)
·
Good interpersonal skills, service-minded, organization skills, and mature
·
Ability to work under pressure and solve unexpected problems in an appropriate manner

Job Description
Duties include; but are not limited to
Membership:
-
Manage membership database, updating new members and canceled members
-
Providing information to the members (when required)
-
Update the Member Directory
-
Update new contacts in the database
Accounting:
-
Issue invoice and receipt for membership fees and event fees
-
Keep track of all incomes, expenses, and monthly payments
-
Issue withholding tax documents (when needed)
Event:
-
Prepare yearly event calendar
-
Designing artwork for event invitations
-
Coordinate with venues for event organization
-
Coordinate with beers, wines, and any related suppliers
-
Prepare and send out event invitations and reminders
-
Send confirmation emails to registrants and keep track of all registrants
-
Handle the reception area and attendance list
-
Take photos of the events
-
Plan and run the event program and sequence
-
Coordinate with other chambers of commerce for cooperation (when needed)
-
Conduct a budget report after the event
- Send thank you and event evaluation emails to registrants and track the record
Website, social media, and newsletters:
- Monitor and update information on the BeLuThai website, Facebook,
LinkedIn, and Instagram
-
Prepare a weekly newsletter
Ministry of Commerce:
-
Submit Annual Report to the Ministry of Commerce yearly
-
Regularly update the list of members
-
Documents for Board Members’ registration for new or resigned directors
Administration:
-
Carry out Personal Assistant tasks for the Executive Director
-
General office tasks
Board of Directors Meeting:
-
Schedule date and time for Board Meeting
-
Set up Zoom online meetings for hybrid Board Meetings
-
Prepare information, documents, and presentations for the Board Meeting
-
Prepare Minutes of Meeting
Internship:
-
Prepare documents for the foreign interns’ visa application
-
Assign tasks for interns and monitor and update the Executive Director
